Some of these key areas included transcribing conversations, drafting materials, and refining messaging. Evaluating AI Market Options

With a clear understanding of our opportunities, we embarked on a comprehensive evaluation of available AI solutions. Our process included:

First, we examined product review articles to see what was available in the marketplace and what others were saying about these tools. Based on this research, we narrowed our focus to 5‒6 products for evaluation. We established clear criteria for assessment, evaluating the capabilities and limitations of each product. We thoroughly reviewed company policies to determine their compliance with data security, privacy, and protection, with a priority that our inputs wouldn’t be used to train their large language model (LLMs). This step was crucial in maintaining the confidentiality and integrity of our work. We also evaluated the user-friendliness of tools so colleagues would be able to easily use them. Lastly, we compared pricing and their terms to ensure the tools fit in our budget.

After determining which tools met our standards, we trialed the products to understand more about them. By being thoughtful in our evaluations, we ensured we chose tools that aligned with our values and goals. This step wasn’t just about picking products; it was about finding partners that would help us grow and enhance our impact.

Adopting AI Tools: A Cultural Shift

After securing leadership’s approval to move forward with our recommended tools, we developed a comprehensive AI usage policy covering:

  • Authorized use
  • Data security and confidentiality
  • Attribution and transparency
  • Ethical use guidelines
  • Accuracy verification
  • Continuous improvement
  • Compliance

Staff members were required to read and agree to this policy before gaining access to the new AI tools. This approach not only ensured compliance but also fostered a culture of responsible AI use.

Training played a pivotal role in our adoption strategy. We trained colleagues on how to set up these tools, use them, and communicate our use of them with clients. In the trainings, we included use cases so colleagues understood how to take advantage of these tools.

To embed AI into our organizational culture, we added the AI training into our employee onboarding, created an AI and Tech chatline for colleagues to share feedback and tips or ask questions, and included AI tools into our processes and templates.
